Nittsu NEC Logistics Ltd., (hereinafter referred to as “Our Company”.) provides its customers with ideal logistics solutions, ranging from procurement to sales/collection based on the six pillars of Consulting, Domestic Logistics, Global Logistics, IT, Packaging Solutions, and Environmental Solutions.

We analyze the present situation of customers from the perspective of overall optimization, and propose the most suitable logistics system.

We work in as one with our customers to optimize the entire supply chain by utilizing NEC Group's SCM know-how, nationwide transportation and delivery network, and the IT expertise to facilitate these resources.

We believe that it is our social responsibility to aptly protect personal information (and personal numbers. Hereinafter the same), and hence advance the following measures.

Given the business framework of our Company, a manager appointed for each department that handles personal information strives to obtain, use, and disclose personal information in accordance with the Japanese Industrial Standard JISQ15001 "Personal Information Protection Management System-Requirements".We implement measures specifically to ensure that the personal information is handled strictly to achieve the intended purposes of use, eliminating any usage beyond the scope necessary.
We observe laws, ordinances, state policies, and other regulations concerning personal information management.
We strive to take necessary and adequate safety measures (security measures) to prevent and rectify leakage, loss, or damage of personal information.
We accept complaints and consultations from customers regarding the handling of personal information and our personal information protection management system, and respond to such complaints and consultations in an appropriate manner. Please contact our customer support mentioned previously.
We will continuously strive to improve our personal information protection management system, including this policy.

・To manage chartered vehicles, which includes providing lists of drivers to government and other public offices for the purpose of applying for transport permits

We will provide the following “Retained Personal Data” to the individual concerned, in an easily accessible manner.

3. Procedures to respond to “Requests for Disclosure” of retained personal data

The following procedures are in place for an individual customer or their proxy to request to disclose, delete, modify, or discontinue the use of retained personal data.

1) How to request a disclosure (format of the document, and identity verification of the applicant or their proxy)

To request disclosure, download the following application form (PDF file) (1), fill in all the required fields, enclose proof of identity (2) and handling charges (4) and mail it to the respective service desk listed below.

We accept request of disclosure initiated by individuals or their proxies.A proxy shall mail the following required documents (A), (B) and (D) as well as a power of attorney letter (C) to the service desk.

Make sure to confirm all the required documents are complete. Incomplete documents will be returned to the applicant.

A. A copy of the application form specified by the Company (*1)

・Request disclosure of the intended use of retained personal data;
・Request to disclose retained personal data;
・Request to modify, add, or delete retained personal data;
・Request to discontinue use or deletion of retained personal data;
・Request to cease sharing retained personal data with a third party

Send an email to the Personal Information Protection Support Desk given below in case of any difficulty downloading the file. We will mail the form to you in due course. We will verify only the information provided in the application form.

B. Documents to confirm the identity of the applicant
When the request for disclosure is initiated by individuals themselves

The documents mentioned below containing name and address of the applicant as specified on the request form

a) In case of photo proof of identity

A copy of your ID issued by a public office, such as a driver's license, passport, residence card, special permanent resident certificate, or My Number card (do not include copy of the side with the personal number)

b) In case of providing proof of identity without photo

In the case of health insurance card, or pension book, provide a copy of the relevant document and either a copy of the residence certificate (photocopy not acceptable) or a copy of the alien registration certificate (photocopy not acceptable)

c) Documents to confirm the identity of a proxy applicant

When a proxy authorized by the individual initiates a request for disclosure, enclose the following documents in addition to (2) identity proof.

(a) In the case of a request by a legal proxy

I) If the applicant is a minor

  • A copy of applicant’s family register or a copy of the insurance card with their dependents' names

II) If the applicant is an adult ward

  • A copy of the certificate of registry stipulated in Article 10 of the Act on Guardianship Registration

(b) In the case of a request by a proxy

  • A copy of authority letter (*1)
  • A copy of the certificate of seal registration of the proxy

(c) Proof of identity of the proxy

  • A copy of proof of identity of the proxy mentioned in (2) above

(d) Handling charges

  • 1,000 yen per request.Enclose a fixed amount postal money order.
    We will notify you if the fixed amount of money order is insufficient or not enclosed. The application will be returned to you if payment is not made within the specified period, and you will require to start over and send a new request.

We will notify you if any of the submitted documents are incomplete or ambiguous. The application will be returned to you if the required documents are not provided within the specified period, and you will require to start over and send a new request.

(2) Other precautions for request for disclosure

  • We may not process the disclosure request if the prescribed application documents are incomplete, or if the information falls under exemptions under the Personal Information Protection Law.
  • Personal data obtained by a request for disclosure shall be handled only to the extent necessary to respond to the request for disclosure.
  • We will not return the documents submitted in the process to request for disclosure.
  • We will use the address (in Japan) provided in the application form to maintain written communication with the applicant (individual/proxy).
  • We may take significant time to respond, depending on the nature of your inquiry.
  • When a request to delete the retained personal data is made, we will retain a copy of the application form for the request, proof of identity of the applicant, and written response, even after deleting the personal information subject to disclosure.
  • Please be advised that you will no longer be able to use our services for retained personal data, once a request to discontinue use, delete, or cease sharing the data with a third party is processed.

3) Contact for inquiries/complaints concerning retained personal data

Requests for disclosure should be made to the respective contact person indicated at the time of signing up for our services.

If you are unsure of your contact person, send the “Retained personal data concerning the provision of logistics services” to the support desk and “Retained personal data concerning recruitment” to the recruitment officer of General Affairs Department, along with all the aforementioned documents by mail.
Please note that we cannot accept requests for disclosure by any means other than mail.
